Quickstart Guide

Welcome to Ganttsheet! Get ready to dive into intuitive project planning. This guide will help you create professional project timelines in minutes.

Creating a Project

  1. On the Home page of your new account, click the Create a new project button

  2. Enter the name of the project

  3. Enter the project start and end dates (these will be reflected in the project timeline)

  4. Leave Enable chart sharing checked.

  5. Click Create.

A new project will be created and opened, showing you the project dashboard.

Adding Tasks to the Timeline

  1. Click Open the timeline button to view your empty timeline

  2. To create a task:

    • Move your mouse to the right side of the chart over the desired start date

    • Click and drag to the right until the desired end date

    • Release the mouse to create the task

  3. In the sheet, click the Name cell of the new task and enter "Gathering requirements"

  4. Repeat these steps to add another task named "Writing functional specification" with the same start date

Creating a Summary Task

A summary task contains one or more child tasks. To create one:

  1. Right-click on the sheet header cell of task 1

  2. Select Insert rows from the context menu

  3. Click the Name cell of the inserted empty task and type "Analysis"

  4. Select rows 2 and 3 by clicking the row headers while holding Ctrl

  5. Click the Indent toolbar button to convert "Analysis" into a summary task containing the selected tasks

Adding Task Dependencies

To create a dependency between "Gathering requirements" and "Writing functional specification":

  1. Click task 2 and drag over task 3

  2. Release the mouse to create the link

  3. The "Writing functional specification" task will automatically reschedule to start after its predecessor

Creating a Project Resource

Ganttsheet supports two types of resources:

  • User resources (linked to Ganttsheet users)

  • Custom resources (not linked to users)

To create a custom resource:

  1. Go to the Resources tab

  2. Click Add a new resource

  3. Select "Custom" in the Resource type dropdown

  4. Enter "Analyst" in the Name field

  5. Enter "100" in the Rate amount field

  6. Click Create

Assigning Resources to Tasks

  1. Open the timeline

  2. Click the Resources cell of the "Gathering requirements" task

  3. In the empty resource assignment dialog, click Add

  4. Select "Analyst" from the dropdown

  5. Set capacity to 75%

  6. Click OK

The Work and Cost fields will automatically update based on the resource's capacity and daily rate.

Sharing Your Timeline

  • Click the Share icon in the Toolbar

  • Click Create a share

  • Select "Including work" from the sharing level dropdown

  • Copy the generated public link to share your timeline
